Application Guidelines

These guidelines explain who may apply, what information should be provided, how applications are reviewed, and what happens after an applicant is selected for the International Workshop Tour on Digitalization of Agriculture for Sustainable Food Production, with a focus on automation and robotics.

Who may apply

Researchers, students, professionals, producers, public-sector representatives, founders, and other applicants with a relevant interest.

How selection works

Applications are reviewed by the organizers before participation is formally confirmed.

Payment process

Payment should be completed according to the instructions issued for the applicant’s registration stage.

1. Purpose of the Application

The application process helps the organizers assemble a focused and diverse participant group with a genuine interest in digital agriculture, precision agriculture, automation, agricultural robotics, sensing, artificial intelligence, decision support, technology adoption, and related fields.

2. Eligibility

The tour is intended for applicants such as:

  • Researchers, academics, lecturers, and technical specialists;
  • Graduate students and early-career professionals;
  • Industry professionals working in agricultural technology, automation, sensing, or robotics;
  • Farm managers, producers, and agricultural advisers;
  • Government, policy, development, and innovation representatives;
  • Startup founders, business owners, and technology providers;
  • Other applicants interested in a professional or educational benefit from participation.

Applicants should be able to participate in the full program and should ensure that their passport, visa, insurance, and travel arrangements are suitable for travel to Germany and Denmark.

3. Information Required

The online registration form requests the following information:

Personal information First name, last name, email address, phone or WhatsApp number, country, and nationality.
Professional information Affiliation or organization, current role or position, and primary area of interest.
Motivation A short explanation of why the applicant wishes to join the tour and what professional or educational benefit is expected.
Travel information Whether a visa invitation letter is required and, where relevant, the applicant’s full name exactly as shown in the passport.
Practical requirements Dietary requirements and accessibility needs, where applicable.
Optional uploads A short CV or professional profile and, depending on the registration stage, proof of payment.

4. Application Process

  1. Review the tour information.
    Read the program, logistics, payment information, privacy policy, and cancellation terms before applying.
  2. Complete the online registration form.
    Provide accurate information and use an email address that you check regularly.
  3. Submit supporting information.
    Upload a short CV or profile when available. Files should be clear, relevant, and within the stated size limits.
  4. Wait for application review.
    The organizers assess the application and may contact the applicant if clarification is required.
  5. Keep your registration code.
    The registration code is used to check application and payment status and should be stored securely.
  6. Complete payment when instructed.
    Use the registration code as the payment reference and upload proof of payment through the designated page.
  7. Receive final confirmation.
    Participation is final only after application approval, payment verification, and confirmation by the organizers.

6. Fees and Payment

Applicants should consult the current payment information page for the applicable tour fee, bank details, payment instructions, and payment-reference requirements.

  • Use the assigned registration code as the payment reference.
  • Upload proof of payment through the official payment upload page.
  • Payment submission does not by itself constitute final confirmation.
  • Payment status can be checked using the applicant’s registration code and email address.

Applicants should not send payment-card numbers, online banking passwords, or other sensitive banking information by ordinary email. Use only the official payment instructions and upload pages provided through this website.

7. Visa, Passport, and Travel Responsibility

Applicants are responsible for confirming all passport, visa, transit, insurance, health, and entry requirements that apply to their nationality and travel route.

The organizers may provide an invitation letter after the relevant application information has been reviewed. An invitation letter does not guarantee that a visa will be issued.

Applicants needing a visa letter should enter their full name exactly as it appears in their passport and should submit their application early enough to allow for administrative and embassy processing.

8. File and Document Guidance

  • CV or professional-profile files may be submitted in PDF, DOC, or DOCX format.
  • Payment proof may be submitted in PDF, JPG, JPEG, or PNG format.
  • The maximum upload size is 10 MB per file.
  • Documents should be readable and should not contain unnecessary sensitive information.
  • Applicants should retain copies of all submissions and payment records.

9. Communication and Application Status

Applicants should monitor the email address used in their application. Important messages may concern missing information, application review, payment verification, visa documentation, practical arrangements, or final confirmation. The online status page can be used to check the current application status, payment status, organizer notes, and the most recent update associated with the registration.

10. Changes, Withdrawal, and Cancellation

Applicants should notify the organizers promptly if their contact information, travel circumstances, visa situation, or ability to participate changes.

Any withdrawal, refund, substitution, or cancellation request is handled according to the cancellation policy published on the tour website.

Program details may be adjusted where necessary because of host availability, transportation, safety, operational requirements, or circumstances beyond the organizers’ reasonable control.

11. Data Protection and Consent

Application information is collected for participant selection, tour administration, payment verification, communication, practical planning, visa support where applicable, and delivery of the program.

Applicants must review and accept the privacy terms shown during registration.
